1. Our Fundamental Commitment to Student Privacy
Proctify Technologies Inc. ("Proctify", "we", "us") provides AI-powered exam lockdown and invigilation software exclusively for educational institutions running Moodle LMS. We believe that protecting academic integrity must never come at the expense of student privacy rights.
We do not sell, rent, monetize, or broker student personal data, biometrics, or video recordings under any circumstances.
2. Institutional Data Ownership (FERPA & GDPR Compliance)
All exam session recordings, student telemetry, and verification logs are the sole property of the subscriber institution (your university or college). Proctify acts strictly as a "Data Processor" / "School Official" under the Family Educational Rights and Privacy Act (FERPA) and General Data Protection Regulation (GDPR).
3. Information Collected During Exam Sessions
During an active proctored quiz attempt, the desktop application collects:
- Hardware Telemetry: Display count, active screen resolution, and audio input/output device descriptors to verify physical sensor authenticity.
- Video & Screen Recordings: Synchronized camera frames and exam screen recordings, recorded only between the start of the quiz attempt and submission.
- OS Event Telemetry: Anomaly flags such as look-away duration threshold events, system hotkey attempts, or unauthorized background processes.
4. No Public AI Model Training on Student Faces
We utilize multimodal AI models (such as Google Gemini 1.5) solely for real-time verification of look-away duration and multi-face anomalies. Your institution’s student video frames are processed in zero-data-retention enterprise pipelines and are never used to train public generative AI models.
5. Encryption & Data Retention Policies
All video data is encrypted using AES-256 at rest and TLS 1.3 in transit. Institutions can configure automatic video purge schedules (e.g. 30, 60, or 90 days after exam completion), after which video files are permanently deleted.
